Custom AI App for Accounting Firms in Pittsburgh

Your firm is drowning in PDFs, source documents, and repetitive client questions during every busy season, and the off-the-shelf AI tools your partners have tried either leak data, hallucinate on tax code, or ignore the way your engagements actually run. A custom AI app for accounting firms solves that gap: it is trained on your workpapers, your engagement templates, and your firm's review standards, and it runs inside infrastructure your IT and compliance leads can defend. PGH Networks builds these applications for CPA firms and tax practices across the Pittsburgh metro, from Downtown and the Strip District out to Cranberry, Robinson, Monroeville, and Washington County.

A generic chatbot fine-tuned on the public internet is not a defensible tool for a firm that signs Form 8879s.

Who this is for

This page is written for managing partners, firm administrators, and IT directors at accounting practices between roughly 10 and 250 seats. If you are a solo practitioner, a Copilot license and some good prompt hygiene will likely take you further than a bespoke build. But if you have multiple engagement teams, a mix of audit, tax, and CAS work, and enough repetitive knowledge work that your seniors are burning out on it, a custom AI application starts to pay for itself inside one tax season.

We also work with outsourced accounting and family office teams that carry sensitive client data under GLBA and IRS Publication 4557 safeguards. Those firms usually can't adopt consumer AI at all without a documented acceptable-use policy and a tenant they control.

What a custom AI app for accounting firms actually does

The phrase covers a wide range of builds, so it helps to be concrete. The most common patterns we ship for Pittsburgh firms:

Client document intake. A secure portal where clients upload 1099s, K-1s, brokerage statements, and prior-year returns. The app classifies each document, extracts the fields your preparers actually key, and drops a structured summary into the engagement folder. This is the highest-ROI document automation use case we see.

Workpaper and review assistants. An internal AI tool that reads a completed workpaper and flags tie-out issues, missing disclosures, or inconsistencies with prior period. It does not replace the reviewer; it gives the reviewer a first-pass checklist so partner time goes to judgment, not clerical checking.

Client-facing Q&A. A custom chatbot trained on your firm's own guidance, engagement letters, and FAQ library, embedded in your client portal. It answers "when is my extension due" and "what do I need to send you for the S-corp" without pulling a senior off billable work.

Tax research and memo drafting. A retrieval assistant that searches your internal memos, past positions, and licensed research content, then drafts a first-cut memo your team edits. Trained on your firm's writing style, not a generic LLM voice.

Practice management glue. Small internal apps that move data between your tax software, your DMS, and your billing system. Not glamorous, but this is where firms recover the most hours per week.

How we build it securely

TL;DR: We build on your Microsoft tenant with Azure OpenAI, so client data stays inside boundaries your compliance officer can already point at on an audit.

Most of our accounting builds run on Microsoft 365 Copilot plus Azure OpenAI, with retrieval-augmented generation over a SharePoint or Dataverse index that you own. Nothing gets shipped to OpenAI's public endpoints, nothing trains a foundation model, and every query is logged. Where a firm needs stricter controls, we layer in Microsoft Purview for DLP and sensitivity labels.

On the compliance side, we map the build against IRS Pub 4557, the FTC Safeguards Rule, and AICPA SOC 2 criteria if the firm reports on them. For firms with defense-industry clients running through their books, we can extend the same controls to align with CMMC expectations. Underneath the AI layer sits standard managed IT hygiene: patched endpoints, EDR, MFA, and conditional access. AI security is real security; you can't bolt it onto a soft environment.

If your data governance is not audit-ready, your AI project is not audit-ready either.

Why PGH Networks

We are a Pittsburgh-based MSP with a dedicated AI-workflows practice, not a national franchise dropping in a template. That matters for accounting firms in two specific ways. First, we can sit in your Green Tree, Southside, or Wexford office during scoping and walk the actual workflow with your team, which is where 80% of the useful requirements live. Second, our vCIO team owns the technology roadmap alongside the AI build, so the app is planned against your renewal cycles, your seat growth, and your busy-season change-freeze windows, not in a vacuum.

We start almost every engagement with an AI readiness assessment: a two-week look at data hygiene, license posture, and the two or three workflows most likely to produce a real return. Firms that skip this step tend to build the wrong app first.

Next step

If you want to scope a custom AI app for your accounting firm, or just get a second opinion on a build another vendor has proposed, we are easy to reach. Call 724.888.7007 or send a note through the contact form and we will set up a 30-minute working session with an engineer, not a salesperson.
